Privacy statement for The Love Doctor Events

This is the privacy statement of The love doctor events, part of Lemon Creative Studio located in Eindhoven, registered in the trade register of the Chamber of Commerce under file number 92525091, hereinafter referred to as: "The love doctor events" or "we".

We collect personal data in various ways, for example when you register for one of our events or trips or when you fill out the contact form on our website. When processing personal data, we comply with the applicable privacy legislation, such as the General Data Protection Regulation (GDPR). This means that:

• we process personal data only for legitimate purposes, as explained in this privacy statement;
• we only collect and store strictly necessary personal data required for certain purposes;
• we process personal data in a transparent manner and require that our partners who process personal data on our behalf do the same;
• if consent is required, we will explicitly ask you for approval for processing your personal data;
• we take the necessary security measures to protect your data;
• we respect your rights, including the right to inspect, modify and delete your personal data processed by us.

In this privacy statement we inform you about what personal data we collect and process, the reasons for this, how long we keep this data, the security measures we have taken to protect your personal data, your rights as a data subject and how you can contact us. 1. Processing personal data: categories, purposes, legal bases and retention periods

By personal data we mean all data that can be used to identify a person. We collect personal data in different situations and for different purposes. For each situation, it is indicated below which data we collect from you, for what legitimate purpose we process this data and how long the data is kept.

Events

If you register for an event of The love doctor events, we process the following personal data about you:

• Name and address details;
• date of birth;
• sex;
• e-mail address;
• phone number;
• payment details such as a bank account number;
• any photos and video and sound recordings of the event;
• other information that you provide to us as a participant.

We use this personal data to perform the agreement with you as a participant as best as possible, including by verifying through registration who is entitled to the tickets ordered. We store this information for one month after the event. We store some data for longer if we are legally obliged to do so (for example due to the tax retention period of seven years).

If we process personal data by taking photos and video and sound recordings of the event, we do this on the basis of the participant's consent. We keep these images for 7 years.

To travel

If you register for a trip with The love doctor events, we process the following personal data about you:

• Name and address details;
• date of birth;
• sex;
• nationality;
• physical characteristics such as height, hair color and eye color;
• e-mail address;
• phone number;
• social media account;
• profession;
• training data;
• payment details such as a bank account number;
• any photos and video and sound recordings of the trip;
• other information that you provide to us as a participant, such as allergies.

In certain situations we process special personal data, mainly obtained from introductory conversations with participants in our trips. In these conversations we discuss personal interests and partner expectations to increase the chance of a successful match. These conversations may lead to the processing of data that qualify as special personal data under the GDPR, such as data about your:

• racial or ethnic origin;
• political views;
• religious or philosophical beliefs;
• health;
• sexual orientation.

We process the above data in order to execute the agreement we enter into with you as a participant. We only process special personal data with your explicit consent, which you can always withdraw. We keep this information for one month after the trip. We store some data for longer if we are legally obliged to do so (for example due to the tax retention period of seven years).

If we process personal data by taking photos and video and sound recordings of the event, we do this on the basis of consent. We keep these images for 7 years.

Website

When you visit our website, we process the following data from you:

• technical data of the equipment used to visit the website;
• functional cookies. For more information about cookies, please refer to our cookie policy as included in paragraph 4 of this privacy statement.

We process this data to ensure that our website functions properly. The processing is necessary for the pursuit of the legitimate interests of The love doctor events. We store this data no later than 6 months after visiting the website.

Newsletter

You can register for our newsletter via the website. We process the following data for this purpose:

• First and last name;
• e-mail address.

We process this data based on your consent. You always have the option to unsubscribe from the newsletter. Every newsletter contains a link with which you can unsubscribe.

Contact

There are several ways to contact us, including by email at info@thelovedoctorevents.com or via the contact form on our website. To make this possible, we process the following personal data:

• First and last name;
• e-mail address;
• phone number;
• address data;
• any additional information you provide in a message.

We process this data with your permission and to process your contact request. We store this information until we believe that your contact request has been handled satisfactorily.

EventGoose

Tickets for events and trips are available through EventGoose. EventGoose is responsible for the processing of the personal data that they obtain when selling tickets. For more information about the processing of this personal data, we refer you to EventGoose's privacy statement.

2. Transfer of personal data to third parties

We only share personal data with external parties when this is legally permitted or based on your consent.

In certain situations we share personal data with third parties, for example when these parties have been engaged by us to process data, such as our accountant. The love doctor events has taken extensive technical and organizational measures to protect personal data. We will only share personal data with third parties with similar standards of technical and organizational measures.

In addition, with your permission, we may share your personal data with other participants of an event. Before an event you will receive a list on which you can indicate whether you are interested in other participants. If there is mutual interest, we will, with your permission, share your contact details with the relevant match to enable communication.

In order to provide our services, we may provide personal data to parties located outside the European Economic Area (EEA). We only do this if there is an appropriate level of protection for the processing of personal data.

3. Security

The personal data provided to us is treated with the highest degree of care and complete confidentiality. We also ensure that appropriate technical and organizational security measures are taken to adequately protect personal data against misuse, loss, unauthorized access, unwanted disclosure and unauthorized changes.

If you suspect that your personal information is not adequately secured, or if you notice signs of misuse, please do not hesitate to contact us.

4. Cookie Policy

We use both our own cookies and cookies from external parties on our website and in our app. Cookies are small text files that can be automatically stored or read on a visitor's device, such as a PC, tablet or smartphone, via the web browser.

The love doctor events only uses necessary cookies that support the functionality of the website. These necessary cookies have no consequences for the privacy of our website visitors. We are therefore allowed to post them without being asked.

5. Rights of data subjects

If we process your personal data, you have the following rights:

• Right of access: you have the right to view the personal data that we process about you.
• Right to rectification: the right to rectification of your personal data, for example if your personal data is incorrect.
• Right to delete data: in certain cases the right to ask us to delete your personal data.
• Right to withdraw your consent: you can always withdraw your consent (if consent is the basis for the processing). Withdrawal of consent has no retroactive effect. This means that consent no longer applies from the moment of withdrawal.
• Right to limit processing: in certain cases you have the right to ask us to temporarily stop using your personal data. For example, if the data is incorrect.
• Right to data portability: in certain cases you have the right to receive the personal data that we have from you.
• Right to object: you have the right to object to the processing of your personal data.
• Right to a human perspective on decisions: the right not to have to deal with a decision that is based solely on automatic processing (including profiling), which has legal consequences or significantly affects you.

If you would like to exercise any of these rights, please contact us using the contact information set out in section 8 of this privacy statement. In principle, we will comply with your request within one month.

6. Complaints

To submit a complaint about the use of your personal data, you can contact us via the contact details stated at the end of this privacy statement. Every complaint is handled internally by us and we will communicate further with you about this. If you believe that we have not helped you adequately, you have the option to file a complaint with the Dutch Data Protection Authority.

7. Changes to privacy statement

The love doctor events reserves the right to change this privacy statement. Discussions will be based on the latest privacy statement, which is published on our website. This privacy statement was last changed in April 2024.
